Selection & Notification Deadlines
Wine Preference Selection: Members must notify us of their monthly wine preference (red-focused, white-focused, or mixed) by the 15th of the month prior to pickup/delivery. Example: December preferences must be submitted by November 15th. If no preference is indicated, members will automatically receive the mixed selection.
Wine Availability: Selected wines are allocated in limited quantities. If we cannot fulfill your exact bottle selection due to availability, we will substitute with a comparable wine of equal or greater value and notify you in advance.

Pickup & Delivery
Monthly Pickup Window: Wine is available for pickup between the 1st and last day of each month observing regular business hours of the time. Members will receive email notification when their selection is ready, typically by the 1st of the month.
Late Pickup: Wines not picked up by the end of the designated month will be held for 30 days. After 60 days total, unclaimed wines may be released back to inventory and membership benefits forfeited for that month.
Identification Required: Members or their authorized designee must present valid government-issued photo ID proving age 21+ at pickup. Wines are for personal consumption only and may not be resold. Changes to Preferences: Members may change their standing preference at any time by logging into their account, calling the shop, or emailing us, but changes must be submitted by the monthly deadline to take effect.
Membership Duration & Billing
Membership Term: Memberships are month-to-month with automatic monthly renewal unless cancelled. There is no minimum commitment period.
Billing Date: Credit cards will be charged on the 25th of each month for the following month's allocation. Your payment method must remain current and valid.
Payment Method Updates: Members must immediately notify us of changes to credit card information (new card, expiration date, billing address) to avoid service interruption. Updated payment information can be submitted online, in person, or by phone.
Failed Payments: If payment fails, we will attempt to contact you and re-process payment within 5 business days. Membership benefits are suspended until payment is received. After 30 days of non-payment, membership may be cancelled.
Cancellation & Pausing
Cancellation Policy: Members may cancel at any time with at least 10 days' notice prior to the next billing date by contacting us in writing (email acceptable). Cancellations received after the billing date will take effect the following month.
Pause/Skip Policy: Members may skip up to one month per quarter without penalty by notifying us at least 10 days before the next billing date. Pauses of up to 3 consecutive months are permitted with advance written notice; longer pauses may require membership reactivation.
No Refunds: Monthly membership fees are non-refundable once billed, though unused allocations may be picked up within the designated timeframe.
Transferability & Usage
Non-Transferable Membership: Wine club memberships are non-transferable and may not be sold, gifted, or shared with other individuals. Only the named member (and their designated plus-one for applicable benefits) may use membership benefits.
Member Must Be Present: To receive in-store benefits such as pickup discounts and complimentary wine pours, the member or their registered plus-one must be present and show membership identification.
Event Reservations: Event access includes member + 1 guest as specified by tier. Reservations are required for all events and must be made by the stated RSVP deadline. No-shows without 48-hour cancellation notice may forfeit future complimentary event access.
Discount Limitations: Member discounts apply to in-store/restaurant purchases made by the member or their registered plus-one. Discounts cannot be combined with other promotional offers unless explicitly stated. Discounts do not apply to already-discounted items, gift cards, or special event tickets.
Account Changes & Communication
Primary Communication Method: Email is our primary method of member communication. Members are responsible for monitoring their email and ensuring our messages don't go to spam. Updating Contact Information: Members must notify us immediately of changes to email address, phone number, or physical address. Changes can be submitted online through your member portal, in person, or by calling the shop.
Issue Resolution: Any discrepancies regarding membership benefits, billing, or wine quality must be reported within 30 days of the original transaction. Contact us at 910-202-4749 or info@wilmintonwineshop.com.
Program Changes & Termination
Modification of Terms: Wilmington Wine reserves the right to modify membership terms, benefits, pricing, or wine selections at any time with 30 days' notice to members. Continued membership after notification constitutes acceptance of modified terms.
Program Termination: We reserve the right to terminate or suspend the wine club program or individual memberships at any time, including for abuse of membership privileges, allowing others to use your membership, or other violations of these terms.
Member Conduct: Membership may be terminated for improper conduct including but not limited to: reselling club wines, allowing unauthorized individuals to use membership benefits, providing false information, or abusive behavior toward staff.
Legal & Compliance Age Requirement: Members must be 21 years of age or older. By joining, you confirm you meet this requirement and will not provide alcohol to minors.
Applicable Law: Membership is void where prohibited by law. Members are responsible for compliance with all applicable federal, state, and local laws regarding alcohol possession and consumption. Limitation of Liability: Wines and membership benefits are provided "as is" without warranties. We are not liable for wine quality issues beyond replacement, shipping delays due to weather, or unavailability of specific wines.
Entire Agreement: These terms constitute the complete agreement between member and Wilmington Wine regarding wine club membership. No verbal statements or other materials modify these terms except written amendments by Wilmington Wine.
Additional Operational Details to Include
Tier Upgrades/Downgrades: Members may upgrade tiers at any time by paying the prorated difference; upgrades take effect immediately. Downgrades take effect the following billing cycle and must be requested at least 10 days before the next billing date.
Guest Pass Policy: Guest passes (where included in tier benefits) are valid for one year from issuance and may be used by anyone designated by the member. Guest passes are non-transferable and expire if not used within the designated period.
Tasting Notes & Content: All printed materials, tasting notes, blog content, and forum discussions are proprietary to Wilmington Wine and may not be reproduced or distributed without permission. Privacy Policy: Member information will not be sold or shared with third parties except as required for payment processing or legal compliance. Members may opt out of marketing communications while maintaining membership benefits.
